Our Commitment

V1BE Events is committed to safeguarding and promoting the welfare of all children and young people attending our events. We believe every young person has the right to enjoy entertainment in a safe, inclusive, and supportive environment free from abuse, neglect, bullying, discrimination, exploitation, or harm.

Purpose

This policy aims to:

  • Protect all attendees under the age of 18.

  • Provide clear safeguarding procedures for staff, volunteers, contractors, and security personnel.

  • Promote a culture of safety, respect, and inclusion.

  • Ensure all safeguarding concerns are identified and reported appropriately

Staff and Volunteer Requirements

All staff, contractors, chaperones, and volunteers working directly with young people should:

  • Complete safeguarding awareness training.

  • Follow the V1BE Code of Conduct.

  • Understand reporting procedures.

  • Hold enhanced DBS checks where appropriate to their role. UK event safeguarding guidance commonly recommends appropriate safeguarding procedures and vetting for those working with children.

Event Safety Measures

V1BE Events will:

  • Operate a strict zero-tolerance policy towards drugs, alcohol, violence, bullying, harassment, and discrimination.

  • Employ licensed security staff.

  • Conduct bag searches where appropriate.

  • Provide clearly identified welfare and safeguarding staff.

  • Maintain adequate supervision and staffing ratios.

  • Ensure emergency procedures are communicated to attendees and staff.

Reporting Concerns

Any safeguarding concern must be reported immediately to the Designated Safeguarding Lead.

Concerns may include:

  • Abuse or neglect.

  • Bullying or harassment.

  • Inappropriate behaviour by adults or young people.

  • Missing persons.

  • Medical emergencies.

  • Online or social media exploitation related to an event.

All reports will be taken seriously, recorded, and handled confidentially.

Anti-Bullying and Inclusion

V1BE Events promotes an environment where everyone is treated with dignity and respect.

We do not tolerate:

  • Bullying.

  • Racism.

  • Homophobia.

  • Transphobia.

  • Sexism.

  • Harassment of any kind.

Anyone engaging in such behaviour may be removed from the event.

Photography and Social Media

Photography and videography may be used for promotional purposes.

V1BE Events will:

  • Obtain appropriate consent where required.

  • Respect requests not to be photographed.

  • Prohibit unauthorised photography in restricted areas.

  • Comply with UK GDPR and data protection legislation.

Lost or Missing Young Persons

If a young person is reported missing:

  1. Safeguarding staff will be notified immediately.

  2. A venue search will be conducted.

  3. Parents/guardians will be contacted where appropriate.

  4. Local Authorities will be informed if necessary.

Policy Review

This policy will be reviewed annually or following any significant safeguarding incident to ensure it remains effective and compliant with current legislation and best practice.
